Terms & Conditions for Treatment Facilitators


This represents an agreement between BeWell and “Renter” as named in the submitted form.

Purpose of Rental(s): Provision of treatment services to clients

Start and End Date of Rental(s): As per email communications

Rental Rate:

€30 per 90' min session//

€20 per 60' min session//

€10 per 30' min session//

Deposit: None

Paid On: Rent owed due on 1st of each month

Notice:

•Ideally, BeWell would prefer a 3 x Months’ notice period required by the renter to BeWell. However, if other terms are discussed and agreed via email - this is acceptable.

•Importantly the renter agrees that should a they recieve bookings, they will honor same bookings prior to giving notice.

•BeWell reserves the right to serve noteice should the needs of the business change prior to end of rental agreement.

Days/Dates & Times of Rental:

As agreed in email communications

Heating/Electrical: a reasonable consumption of electricity.

Should the bills reflect a consumption higher than a reasonable rate, BeWell and the renter will discuss the usage limit.

Broadband/WIFI: WIFI can be provided to the renter by BeWell

Cleaning & Waste Disposal:

The Main space will be maintained and cleaned regularly by BeWell.

The bathroom will be deep cleaned/supplied with toiletries regularly by BeWell weekly.

The renter agrees to take care of the day to day cleaning of their space.

The renter agrees to take away rubbish at the end of their session and leave the space as they found it - ready for the next treatment faciliator.

Waste disposal – Is taken care of by the renter daily.

Certification & Insurance – The renter confirms that they are fully certified for the treatment they are providing and will provide copy of in date certificate to BeWell for filing. The responsibility for keeping certificate in line with necessary local/national regulations, paid, up to date and filed with BeWell is accepted by the renter.

Insurance – The renter confirms that they are fully insured with both personal liability and public liability insurance for the treatment they are providing. A copy of the renter’s up to date insurance certificate will be provided to BeWell for filing. The responsibility for keeping insurance paid, up to date and filed with BeWell is accepted by the renter. The renter agrees to check that all clients have filled out the BeWell waiver of liability for treatments and sessions prior to beginning their session.

Alcohol Policy:

Under no circumstances is Renter allowed to charge participants for any alcohol served at BeWell.

Smoking/Incense/Flames:

The renter agrees to no open flames anywhere in the building. This also extends to incense, candles, smudge sticks, or open flames of any sort.

Renter's Equipment/Props:

All props or equipment that Renter brings into the space need to be constructed in such a way that they cause no damage to floor or studio walls. All props/equipment must have felt padding or protective covering on any part that rests on the floor or against the wall.

Storage:

BeWell does not provide storage for renters who are not on fixed term rental agreements.

Renters leave any equipment, costumes, props, or personal belongings in the studio at their own risk. BeWell will not be held responsible for theft or damage of equipment stored in the venue.

Security:

Renter assumes responsibility for the security of BeWell Longford during each rental period. Renters are required to return BeWell Longford to a secure state upon leaving by making sure the doors are locked as per daily closing procedure.

Emergency:

For any emergency situations including accidents, health crises, criminal activities, or fire, call 112 or 999. There is no phone available at the space. Renters are advised to have their mobile phone close at hand.

Renter assumes full responsibility for any damage caused to any part of the entryway, studio, bathroom, speakers, cameras, floors, windows, mirrors, walls, ceilings, included equipment, during their use of same etc.

Renter agrees to pay in full for repair or replacement of any item or structure damaged by the Renters or by collaborators, students, clients or guests invited to the space by the Renter. Full payment for damage shall be made within 10 days of the damage.

Liability:

Renter assumes liability for injury to any persons renter faciliatates/treats within the space.

Housekeeping:

Renter assumes responsibility for returning the studio to its excellent condition within the rental time frame and before leaving the premises. All lights, speakers, and electrical equipment must be turned off. Trash and litter must be removed.All relevant Covid-19 cleaning protocols must be followed. If beyond reasonable cleaning is required to return the studio to its proper condition, renter will be charged a fee or notice may be served.

Parking:

Free parking is available in the Mastertech car park. BeWell Longford is not responsible for any damage or theft to renters vehicle.

Contract

Renters will digitally sign and submit thiselectronic agreement upon booking BeWell Longford. Renters will be informed of any changes to rental policies.

Shoes:

Shoes with metal heel caps or cleats MUST be removed upon entering the studio. Only normal street shoes, soft-soled, non-marking, absolutely clean dance or athletic shoes are allowed in the tiled area at the entrance of the building where shoes are permitted.

From July 5th 2021, Shoes are not permitted beyond the tiled area.

Clients are asked to wear socks, own slippers, bare feet in the wooden floor areas of the studio.

As some people understandably prefer to use shoes in the bathroom areas, shoes are permitted in the bathroom but must be taken off to cross the wooden floor.

Silence & Peaceful Atmosphere: Renters agree to uphold the peaceful and silent/quiet atmosphere of the BeWell center leading by example and educating/encouraging their clients to maintain the same quiet space.

Ethical Considerations for the ethos of BeWell

Renters agree to uphold the ethical considerations (attached below) for cultivating the ethos of BeWell.

BeWell Standards Hygiene and Sanitization

Renter agrees to stay informed and uphold BeWell’s Hygiene and Sanitization standards (attached below) as the center develops. Therapists agree to keep fingernails trimmed to the highest standard for all hands-on treatments. Therapists & Teachers agree to adhere to ensure personal hygiene is of the highest standard for all treatments delivered at BeWell.

Equipment:

BeWell can provide Massage beds + Bluetooth speakers for treatment rooms.

All other equipment such as bedding/sheeting/oils etc. are provided by the therapist for their own treatments.

Gossip/Profanities:

At BeWell, we are creating a holistic space curated not just visually but energetically by the practice of kindness, truthfulness, respect and compassion. This starts with our collective community of therapists, facilitators and teachers.

Renter agrees to uphold an excellent standard of confidentiality with all clients coming to the BeWell center and with their fellow renters in the BeWell space.

This entails

  • refraining from all gossip at all times with clients and fellow renters
  • refraining from discussion of other people’s news/business where possible regardless of whether this is negative or positive news/business
  • practicing discretion where clients initiate gossip or discussion of another person
  • strictly refraining from any discussion of client’s injuries/issues/conditions with other clients or fellow renters (discussion permitted renter to renter for cross-treatment planning only)
  • respecting the privacy of other clients & other renters
  • practicing ‘Satya’ to the highest standard – or truthfulness - only adding words where words are more beautiful than silence itself

Music:

In line with profanities and gossip, music used during treatments/sessions must reflect the holistic space. BeWell reserves the right to ask renters to play BeWell music playlists during treatments for the overall harmony of the space.

Smoking:

As BeWell is a holistic space, Smoking is strictly prohibited in and around the building within 100 meters of the doors. Renters agree not to smoke within 100 meters of the building – more specifically not directly outside any doors of BeWell or around the building - and to promote this standard as best possible with their clients who smoke.

Price Protection:

Renting of the venue is only possible where teachers/facilitators of similar movement practices/treatments agree to price stabilization.

For example,

For Yoga Teachers - This is whereby Single Yoga Classes are not priced under €12 per session for standard adult pass.

Packs of Yoga lessons are not offered under

€20 x Classes for €180

€10xClasses for €100

€5 x classes for €55

etc.

For Treatment facilitators – This is whereby single treatment sessions for similar treatments are price matched.

Courses and workshops must also be in line pricewise with other courses at the studio.

Finally, it is not possible for renters to sell discounted/cheaper entries to their sessions on other platforms such as own website/Eventbrite etc.

  • Aware of the suffering caused by improper conduct and taking advantage of student-teacher or client/facilitator dynamics, I dedicate myself to cultivating the insight of interbeing and compassion and learning ways to protect my students/clients from physical and psychological harm.
  • Acknowledging my limited scope of practice, I will not provide advice or instruction outside of my skillset.

For Our Holistic Space – BeWell Longford

I. WASH HANDS OFTEN
  • The number one source of microorganism cross-contamination is by contact with human hands.
  • the best measure to prevent the spread of infection is hand washing.
II. USE ONLY CLEAN LINENS & EQUIPMENT
  • disinfect equipment and supplies before and after each massage therapy session
III. BEGIN EACH DAY WITH A CLEAN UNIFORM OR SET OF CLOTHES
  • shower/ bathe daily
  • if perspiration is heavy or if clothes become stained, a spare uniform should be kept available
  • cotton is best to absorb perspiration
IV.USE A CLOSED LUBRICANT CONTAINER WITH A DISPENSING MECHANISM
  • oil or lotion should never be put back into the container if you accidentally spill or pour out more than you need
  • frequently disinfect your lotion container

V. WEAR INTACT VINYL GLOVES, BANDAGE OR FINGER COT WHEN YOU HAVE AN OPEN LESION, FUNGAL OR INFECTION ON YOUR HANDS

  • any time the massage therapist has a break in the skin (hangnails/cracks)
  • any time the massage therapist has an infectious skin disease (wart, measles, scabies)
  • when the client requests that the therapist wear gloves
  • when the massage therapist does not feel comfortable without them
VI. Massage Therapist Professional Hygiene Tips Bathe daily and use antiperspirant
  • Avoid perfumes, colognes, perfumed hair products, or scented lotions. Respect client’s sensitivities and allergies.
  • If you perspire heavily, wear a sweatband or have a towel nearby to wipe off sweat
  • Keep nails clean, short and neatly trimmed: long nails hide bacteria, to avoid scratching or pinching the client, professionalism
  • Wash hands and forearms thoroughly after each massage. Never treat the face right after the feet.
  • The massage therapist must never be under the influence of alcohol or drugs when working on a client. This includes prescription drugs that affect mental or physical abilities.




BeWell Longford Covid-19 Response Plan


BeWell Longford COVID-19 Response Plan

Section 1. COVID-19 Policy Statement
The management of BeWell is committed to providing a safe and healthy workplace for workers within BeWell, clients of BeWell and others affected by our activities. To support this commitment, we have developed the following COVID-19 Response Plan. All those who use BeWell Facilities as independent contractors are responsible for the implementation of this plan and a combined effort will help contain the spread of the virus.

We will:

  • Continue to monitor our COVID-19 response and amend this plan in consultation with our workers
  • Provide up to date information(in a form, manner and language that will be understood by all) to our workers and visitors on the Public Health advice issued by the HSE and Gov.ie
  • Display information on the signs and symptoms of COVID-19 and correct hand-washing techniques
  • Appoint a COVID-19 Response Manager who will provide governance and support to workers within BeWell
  • Inform all workers of essential hygiene and respiratory etiquette and physical distancing requirements
  • Adapt the workplace to facilitate physical distancing
  • Keep a log of contacts / group-work, etc. to help with contact tracing
  • Have all persons using BeWell Longford for their activities attend an induction / familiarisation briefing
  • Develop a procedure to be followed in the event of someone showing symptoms of COVID-19 while at BeWell and include specific measures for dealing with an outbreak of COVID-19
  • Provide instructions for workers to follow if they develop signs and symptoms of COVID-19 during work
  • Review cleaning arrangements in line with government advice

All workers will be consulted on an ongoing basis and feedback is encouraged on any concerns, issues or suggestions. This can be done through the Lead Worker Representative(s) and or Safety Representative(s) Miriam O’ Reilly

  1. Oversee compliance with the requirements of the Return to Work Safely Protocol
  2. Ensure areas of non-compliance are addressed
  3. Ensure a contact log is maintained
  4. Ensure emergency plans are reviewed and updated

Role of the Lead Worker Representative

  1. Undertake the required training
  2. Work to ensure, so far as is reasonably practicable, the safety, health and welfare of workers and clients in relation to COVID-19
  3. Promote good hygiene practices such as washing hands regularly and maintaining good respiratory etiquette along with maintaining social distancing in accordance with public health advice
  4. To assist in monitoring adherence, carry out inspections at a reasonable frequency and type.
  5. Assist in keeping fellow workers and clients up to date with the latest COVID-19 advice and promote good hygiene practices, good respiratory etiquette and social distancing in accordance with public health advice
  6. Escalate areas of non-conformity to the COVID-19 Response Manager
  7. Consult with fellow employees, raise their concerns and provide timely feedback
  8. Share relevant information with the Safety Representative(s)
Section 3 - Return to Work – Planning and Preparing

In planning a safe opening of BeWell we have considered & conducted the following

  • A Safety Statement [June 2021 – Number 1]
  • A Risk assessment
  • Conducted additional COVID-19 related risk assessments
  • Developed a plan for dealing with suspected cases of COVID-19 to include the specific measures for dealing with an outbreak of COVID-19 (located on our website at all times)
  • Implemented the Pre-Return to Workplace Form given to each worker to be reviewed and signed

Section 4 - Control Measures

We are implementing the following additional specific arrangements:

  • Hand hygiene
  • Respiratory hygiene
  • Physical distancing
  • Physical barriers where social distancing is not possible
  • Use of PPE where required
  • Wearing of face masks / face coverings in line with HPSC guidance
  • Cleaning
  • At-risk workers ( very high risk (extremely vulnerable) and high risk
  • Visiting Contractors / Others

1. Hand Hygiene

Basic infection prevention control measures are being implemented within BeWell at all times. All workers are required to complete the HSElanD modules on how to perform hand hygiene.

Workers are instructed to wash their hands for at least 20 seconds with soap and water frequently throughout the day, but especially at the beginning and end of their sessions, prior to any mealtimes and after using bathroom facilities

All visitors to BeWell will be required to wash or sanitise their hands prior to or immediately upon entering the facility. Hand-sanitiser dispensers are placed at entrances and locations so they can be used for hand hygiene in place of soap and water, as long as hands are not visibly soiled.

2. Respitory Hygiene

Basic infection prevention control measures are being implemented within BeWell at all times. All workers are required to wear a visor or mask at all times. One to one holistic treatment facilitators are required to wear a visor or mask for the entirely of their treatment. Movement teachers are required to wear a mask or visor before and after their movement sessions only taking off their mask whilst on their mat. Movement teachers who wish to circulate and observe clients during movement are required to wear a mask or visor during same.

Clients are asked to wear a mask whilst moving throughout the building.

They may remove masks whilst on their movement mat.

3. Physical distancing

All workers are required to practise physical distancing from each other and clients at all times.

All visitors to BeWell are required to practise physical distancing and staying within their designated pods. Markers are present on the floor to show where movement mats can be positioned adhering to current physical distancing requirements.

Physical barriers where social distancing is not possible

Treatment facilitators are required to wear masks for the entirely of one to one treatments

4. Cleaning

Cleaning materials/hand sanitiser will be provided beside all surfaces used by multiple people (such as door handles/ bathroom etc. All workers and victors to BeWell are required to use the cleaning materials after each use of door handles/bathroom etc.

Antibacterial cleaning materials/Wipes for movement mats will be provided. All workers and visitors to BeWell will be required to sanitise the ground facing area of their mats prior to their practise. Should they use area beyond their mat they are required to wipe down same post use.

BeWell will provide a cashless service whereby all payment are either effected in advance online or by touchless card (where possible) and to the best of our abilities

Surfaces will be cleaned down daily by Miriam O’ Reilly or a person appointed by Miriam O’ Reilly.

5. At-risk workers ( very high risk (extremely vulnerable) and high risk

At risk workers // visitors to BeWell are advised to work from home//join our online sessions until fully vaccinated. Attending treatments and session is possible but the person must assume all responsibility and risk for same.

6. Visiting Contractors / Others

All visiting contractors will be provided with the BeWell Response Plan and asked to familiarise themselves with the document and sign prior to providing the service at BeWell

7. Contact Log

It is essential for every worker and visitor to BeWell to sign the contact Log with full details

8. Doors

Workers within BeWell are required to open and close all doors for the clients – this does not extend to bathroom door for which cleaning and santisation products are available for the client to use.

9.Card Machine

Workers within BeWell using the card machine are required to encourage the client to use ‘touch’ pay. If this is not possible workers within BeWell are required to ask the client to insert their own card and insert the pin and when the transaction is complete to remove their own card from the machine. Workers are required to wipe down the card machine after eash use.

10. Working with Pods

From July 5th, workers within BeWell working with movement groups will be required to implement out Pod client flow system.

This will be circulated to all movement teachers and displayed In the studio for teachers and clients to see.

Clients will also receive this information prior to their visit to BeWell for their movement session.

11. The plan for dealing with a suspected case(s)

Should a worker within BeWell suspect that they have Covid-19, they must refrain from coming to the premises.

If this occurs while on premises they must immediately remove themselves from the premises and go directly home to isolate.

If a worker proves positive for Covid-19 and has had direct contact with workers/clients of BeWell they are required to immediately inform Miriam O’ Reilly so that she can take the necessary steps to inform close contacts.

If a visitor to BeWell suspects that they may have Covid symptoms they should not come to BeWell.

If this occurs whilst on the premises they are required to immediately remove themselves from the premises and go directly home to isolate. If a visitor proves positive for Covid-19 and has had direct contact with workers/clients of BeWell they are required to immediately inform BeWell so we can take the necessary steps to inform close contacts.

Section 5 - COVID-19 Induction training

It is the responsibility of every worker to complete the COVID - 19 Staff Induction training and provide Miriam with a signature of completion.

This includes:

  • The COVID -19 Response Plan
  • The plan for dealing with a suspected case(s)
  • Contact log
  • Organisational, physical space and client flow measures
